Calculator and money

You just closed a ₹10 Lakh deal. You feel great. The invoice is generated. But three months later, you can't pay your staff's salaries because the client hasn't cleared the bill. A profitable business can still go bankrupt if it runs out of cash. Here are 7 ways to protect yourself.

1. Invoice the Second the Job is Done

Many business owners wait until the end of the month to "do their billing". This is a terrible habit. If you finish a job on the 3rd, and bill them on the 30th, with a 30-day payment term, you won't see that money for 60 days. Generate the invoice from your phone while you are still standing in the client's office.

2. Shorten Your Terms

Who decided that "Net 30" is the standard? Why should you act as an interest-free bank for your clients? Try putting "Net 15" or even "Due on Receipt" on your invoices. Most accounts payable departments will just process whatever date is printed on the paper.

3. Ask for Upfront Deposits

If you are doing project work, never start without an advance. Ask for 50% upfront, 25% at a milestone, and 25% upon delivery. This covers your raw materials and ensures the client has skin in the game.

4. Make Paying Easy

Don't make them ask for your bank details. Print your exact Bank Account Number, IFSC code, and a UPI QR code boldly on the bottom of every invoice. The fewer clicks it takes them to pay, the faster you get paid.

5. Automate the Chasing

Following up on money is awkward. You don't want to ruin the relationship, so you delay sending that reminder text. Don't rely on humans to do this. Setup your accounting software to automatically send a polite WhatsApp reminder 3 days before the due date, and a firmer email 5 days after it's overdue.

6. Fire Bad Clients

A client who consistently pays 90 days late and argues about every line item is not a good client, even if the billing amount is high. They drain your energy and cash flow. Have the courage to politely let them go. You will instantly feel lighter.
