Stop losing money in your godown: Inventory tips for traders

Dead stock is dead money. Learn how to manage tricky inventory items, optimize your reorder levels, and stop stock leakages.

If you are a trader or a wholesaler, your inventory is your biggest asset. But if it's poorly managed, it's also your biggest liability. Every box sitting in your godown for over 6 months is cash that isn't working for you. Let's look at some practical ways to tighten up your stock tracking.

1. Master the ABC Analysis

Not all products are created equal. The ABC method tells you to categorize your stock:

  • A Items: 20% of your items that bring in 80% of your revenue. Guard these with your life. Never let them go out of stock.
  • B Items: 30% of your items that bring in 15% of revenue. Keep moderate stock.
  • C Items: 50% of your items that bring in only 5% of revenue. Order these only when requested. Don't waste godown space on them.

2. Use Alternate Units (Tricky Units)

Many software programs struggle when you buy in one unit and sell in another. For example, in the textile or hardware industry, you might buy a 'Roll' of fabric or wire, but sell it in 'Meters'. Or you might buy a 'Box' containing 144 'Pieces'.

Trying to calculate the decimals in your head leads to massive inventory errors. Use an accounting system that supports Alternate Units and conversion factors natively. You buy 10 Boxes, the system automatically logs 1,440 Pieces.

3. Set Low-Stock Alerts

Telling a customer "Sorry, we are out of stock" means you just sent them to your competitor. And once they go there, they might not come back.

Calculate your lead time (how long it takes your supplier to deliver). Set your minimum stock level slightly higher than your lead time sales. Modern software can send you an email or a dashboard notification the moment an item hits this minimum level, generating a Purchase Order automatically.

4. The Physical Verification Surprise

Software isn't magic. If your staff steals a box or damages a product without recording it, your software will still say you have stock. You must conduct physical spot-checks. Don't wait for year-end. Pick 10 random items every Friday and ask a staff member to count them and compare them against the software ledger. It keeps everyone honest.
